Social Planning Schedule

 

 

Welcome to Legal Sea Foods Catering Division in The Exchange Conference Center. We are delighted to be a part of your most perfect and special day. In order to best serve your needs we have simplified the planning process into a few easy steps, making us the easiest place to have your wedding reception.

Nine Months to One Year Prior to the Event:
Arrange to tour the Exchange Conference Center. This will give us a chance to get to know one another and begin to plan for your event. At this time if you would like to reserve the Exchange Hall for your event we will have you sign a room rental contract and will require a deposit in the amount of the full room rental fee. We can tentatively hold the space for you for two weeks without a monetary deposit. If a deposit has not been returned in that time the reservation will be forfeited. At this time you should also be thinking about those special touches, which will make your event spectacular. We have attached a list of preferred vendors that we work with. From flowers to cakes to linens and entertainment, our event planning staff and vendors can do it all.

Three Months Prior to the Event:
Please call your event coordinator to set up an appointment within three months of the event date. This multipurpose meeting will be approximately one to two hours long. We will discuss menu and beverage selections along with outlining the details of the day and the room setup. Please bring the names and phone numbers of anyone providing services for the event such as florists, photographers, etc. If your event should require a tasting of certain menu items it will occur at this time. We do require two weeks advanced notice to set up the tasting.

One Month Prior to the Event:
At this time your final menu and beverage selections should be determined. Your event coordinator will send you a banquet event order which will include these menu and beverage items, detailed timing of the event, a preliminary floor plan, and all other information pertaining to the day. Please use the numbered floor plan to determine how many guests will be at each table. The banquet event order will also indicate an estimated cost for the entire event. Any changes to this event order will need to be made at this time. So please review the event order carefully and thoroughly.

One Week Prior to the Event:
Can you believe it's already here! At this time we will need the final guest count along with the finalized floor plan indicating the number of guests at each dining table. At this time any extra items for the event, including placecards, cake knives, guest books, favors, etc. should be brought to The Exchange Conference Center. Also at this time, your total estimated final payment is due. We will require you to sign a credit card authorization form for any further charges, which may be over and above the estimated costs including any bar on consumption charges from the event.
